Use Real Data and Real People
Testing with realistic volumes and genuine employee scenarios reveals issues that clean sample data hides. Equally important is who tests. Managers, payroll administrators and frontline supervisors will find things that a project team never will, because they know what the exceptions look like.
Run Parallel Where Pay Is Involved
Where time data feeds payroll, a parallel run comparing new system output against current output is the definitive assurance step. Variances should be explained line by line and either corrected or formally accepted. Nothing else provides the same confidence at go live.
Control the Process
Entry criteria, exit criteria, defect severity definitions, daily triage and a clear route from defect to retest keep UAT honest. Without them, testing becomes an opinion gathering exercise and go live decisions are made on sentiment rather than evidence.
Adoption Starts Here
UAT is the first time most users encounter the new system. Involving them early builds ownership, surfaces usability improvements while they can still be made, and turns potential resistance into advocacy. Testers frequently become the strongest local champions after go live.

Resolving an issue during UAT is significantly cheaper than resolving it in production alongside a live payroll. A well run UAT phase protects your timeline, your budget and the credibility of the programme.
